Roles and responsibilities:
•Data Management and Reports
oHaving Travel reports shared on a periodic basis.
oPrepared detailed reports and models for management.
oMonthly Complete Operational Report with a PPT- Budget Report,
Provisioning, Monthly MIS
oCollected and analyzed data on travel costs and usage trends.
oSet up cost control goals and analyzed effectiveness.
oTaking Care of Procurements of all the travel, hotel, and cab vendor.
oTaking Care of finding New Vendors or Suppliers for above mentioned
activities, their selection and development.
oTaking Care of Procurement Activities related to Events etc.
oAgreement discussion and Prepares purchase orders by verifying
specifications and price; obtaining recommendations from suppliers for
substitute items; obtaining approval from requisitioning department.
oTake care of RFQs, Bidding's, Negotiations, Contract Management, PO
Creations, and other procurement documentations by the help of ERP system
and other tools.
oEstablish relationships and serve as a representative of the company when
negotiating contracts and building vendor and supplier trust as well as
tracking and monitoring the delivery and confirmation of all materials and
•Team Engagement/Supervisory Responsibilities
o Developing accountability in team members. Have a team of 12 reporting
into me. (Excluding Vendor Implants)
o Determining and drafting roles and re-assign responsibilities of the Team.
o Upgrading their Skillset. (Train/teach) and Deliverables of the team members
•Major Assignments :
o Data-driven decision making to design and implement system and processes
to record overall travel spend.
o Contract, negotiation, and implementations.
o Minimizing costs through proactive analysis and employee instructions.
o Sharing a Comparison of different Vendors Tools and services on travel
o Monitor Call Queues and SLAs to ensure appropriate adherence and
achievement of goals.
o Boutique Hotels to be replaced for regular locations to get cost savings.
o Renegotiations done on regular basis with all the existing partners (Hotel and
o Upgrading Travel Policy on a need basis.
o Made a Travel SOP in accordance with all the Travel and Hotel agreements.
o Budgetary Impact Sheet prepared which include Flights and Hotels.
(Average Costing sheet in accordance with the date of booking)
o Deriving the most used locations for hotel bookings to get best rates and
o Having regular updates regarding the travel restrictions/updates .
•Stakeholder Management /Budgeting/Vendor Management
oOntime budget Tracking
oAlerting the BUs on any deviation
oResolving the Stakeholders Queries
oSourced new vendors and negotiated favorable contracts.
oGather feedback from company employees to optimize travel program.
oCommunicating with the Hotel Vendors on a regular basis
oWorking on the Software to get the Dashboard access for all the Cab service
oHaving the Cab Vendors aligned on similar grounds and using one single
oOnline Invoicing to be taken care of
oManaged Zero escalation on payments issues.
oMaking sure the Vendor Invoices contain all required information.
oHaving timelines aligned and having all the vendors aligned on the
